How to Manage Car Showroom Installments and Payments
Set the schedule at the point of sale
When an instalment deal closes, create the full payment schedule immediately — down payment, number of instalments, amount and due date for each. Doing this later, or keeping it loosely in a notebook, is how instalments get missed.
Record each payment the day it comes in
A payment that arrives but is not recorded is worse than no system at all, because now the ledger is actively wrong. Make same-day recording the rule, and give the relevant staff the access to do it quickly.
Make overdue plans visible without looking
The value of software here is that it surfaces overdue instalments on a dashboard rather than waiting for someone to check. You see which customers are behind, by how much, and for how long — early enough to make a friendly call before it becomes a problem.
Keep the customer's payment history
How a customer paid last time is useful information for the next deal. A record of past plans and whether they were paid on time helps you decide terms without guessing.
Tie it back to the car and the report
Outstanding instalments are money owed to the business, and they should show up in your reporting alongside revenue. In Motrade's Showroom ERP, the schedule is created from the sale and every payment updates the customer record, the outstanding balance and the reports together.
