How to Manage a Car Showroom Inventory Without Excel
One record per car, holding everything
Each vehicle should be a single record with make, model, variant, year, mileage, colour, registration details, photos, the price you paid, what you have spent on it since, your asking price, and where it physically is. When it sells, that record moves to sold — it is not deleted and it does not stay on the available list.
A status that is always current
Available, reserved, sold. The status has to change the moment the situation changes, or the list is misleading. This is the discipline that makes or breaks an inventory system, and it is easier to keep in software where the status updates as part of recording a sale.
The questions it should answer instantly
How much stock do I hold by value? What has been sitting more than 60 days? Which branch is holding the slow movers? Which cars have documents still pending? If answering these means a phone call and a spreadsheet, the system is not doing its job.
Stock ageing
Every dealer knows the car that will not move. A good system shows you the oldest stock as a plain list, early enough to act — drop the price, move it to a busier branch, or wholesale it before it costs another month.
Ready to publish
